Reporting to the Assistant Head, Junior School and PYP Coordinator the Junior School (JS) Receptionist and Administrative Assistant is a key member of the JS office, providing reception and front desk support to parents and students, supporting the Assistant Heads, updating student databases and general maintenance of the Junior School office. The Receptionist also participates in activities related to student health and safety, field trips and providing administrative support to the Assistant Heads/PYP Coordinators.
The Receptionist will track daily student attendance, assisting students who are signing in/out and liaising with faculty and families as required in addition to assisting with the supervision of students at dismissal after co-curricular activities. The incumbent will be responsible for inputting daily attendance and maintaining the database within the school’s information systems, ensuring accurate tracking of attendance for each student in the Junior School. This includes recording information provided via phone and email from families, and recording of student field trips, sporting events, etc. The successful candidate will play a significant role in supporting with field trips throughout the Junior School; proofreading and formatting trip forms and letters, organizing transportation to and from field trip locations, and ensuring all documentation has been obtained such as cheque requisitions for payment, insurance certificates, risk management forms, etc. as required.
The successful candidate also provides general Junior School administrative support and maintains the Junior School Office and Photocopy room ensuring supplies are well stocked and ordered when necessary, photocopiers are in good working order and distributing mail to the teachers’ mailboxes. The incumbent will also provide assistance with editing, printing and filing of report cards, and support with the creation of displays throughout the school as needed.
With excellent organizational skills, the Receptionist will provide support to the Assistant Heads/PYP Coordinators with scheduling, calendaring and organizing meetings as required. This includes, but is not limited to, room bookings/function requests, work orders, food requests, etc.
With post-secondary training in a related field and a minimum of 3 years related experience, the successful candidate is a skilled communicator with the ability to interact positively and professionally with various stakeholders including students, parents and colleagues. You possess strong interpersonal skills and the ability to connect in a relational and nurturing manner with young students. You thrive in a fast-paced environment and can multi-task with regular interruptions. Strong organizational skills, proficiency in Microsoft Office, Google Suite and the ability to learn and work with new databases with ease round out your profile.
