Camps at Appleby College provide co-educational opportunities to develop and advance skills, and to promote interactive skills among participants. The Camp Programs Coordinator is responsible for the organization and execution of all daily administrative tasks associated with the operation of the Camp Office. Provides unmatched customer service while maintaining all Camp Office phone & email correspondence, camper registration/attendance, scheduling rooms/groups, maintain staff schedules, invoicing and various other duties. Acts as a liaison between families and Appleby Camps providing information and resolving problems.

Specific Accountabilities (Pre-Camp Planning):

Ensuring all Covid-19 Safety protocols and Government regulations are being followed

Responsibilities would include 1.5-2 weeks (approximately) of pre-summer work of camp planning, organizing and purchasing supplies

Monthly Senior Staff meetings December through June

Manage and problem solve issues with campers, parents/guardians, staff and volunteers

Responsible for the preparation and coordination of registration sheets/special attention forms, camp attendance, sign-in/out, drop-off/pick-up list for campers

Coordination of Bus Schedules, bus monitors and administration

Assist Camp Director in coordination additional marketing and communications materials to enhance the camper/parent experience

Reception duties include main camp phone (ext. 113), visitor/parent/camper reception, general inquiries and pre- Coordinate communication response in the event of a crisis according to the Appleby Camps safety policies and emergency procedures

Responsible for assisting with customer service training on all office duties

Maintains Camp Brain database & registrations, resolving customer issues

Coordination with other Senior Staff to ensure all documents are completed prior to July

Assist with Camp Fairs, attend monthly Senior Staff Meetings

Summer Camp Program (July, August)

In addition to above accountabilities, during summer duties also include:

Responsible for all camp-in-session communications: emails, letters, etc.

Coordinate communication response (via radio/phone) in the event of a medical emergency or crisis according to the Appleby Camps safety policies and emergency procedures

Ordering of all office and equipment supplies for the camp and maintaining an on-going record of usage

Sorting, distribution and forwarding of incoming/outgoing messages/mail for campers and staff

Coordinate with Camp Staff of weekly progress reports and birthday cards

Maintain positive relations with campers, parents and other staff

Follow all camp procedures and policies to include Appleby’s Mutual Respect policy

Photocopying, organization and distribution of all camper information, thank you letters, updates including printing, filing and mailing

On-going creation & maintenance of the Camp Programs instruction manual

Post Camp Review

Debrief session after Summer is completed

Suggestions/ideas/improvements for the following season

Create ‘Lessons Learned’ / best practices documentation

Knowledge, Skills & Technical Ability:

2-5 years’ previous administrative experience

Must have strong multi-tasking and problem-solving abilities in a fast-paced, customer service oriented environment

Demonstrated ability to handle emergency response

Relevant work experience coordinating/directing staff, supervising camps and/or teaching experience in camp, recreation or educational environments

Experience with Appleby Camps an asset

Energetic and enthusiastic

Demonstrated strong administrative frontline work experience

Valid Standard First Aid and CPR – C (certified on, or after Sept. 2020) and experience dealing with minor first aid for children ages 4 – 15.

Strong time management, organization and prioritization skills

Ability to meet deadlines without compromising the quality of work

Knowledge of computer software programs including Microsoft Outlook, Word, Strong Excel skills, Camp Brain, Access databases.

Workplace Requirements:

Successful candidates must attend the required training sessions from Attend mandatory training June 3 – 5, 2022, June 18, 19, 2022

Part-time pre-camp prep work to be completed from December 2021 includes:

Monthly Evening Meetings Dec, Jan, Feb, Mar, April (Exact date/time TBD) and Individual homework

Full Time Contract May 2 – Sept. 2, 2022

Leading program breakout sessions during Staff Training Weekends Friday June 3 – 5, & June 18 -19, 2022

As a condition of employment, a criminal record check with a vulnerable sector screening is required.

Valid driver’s license required.
