Summary: The advancement administrative assistant position reports directly to, and provides direct support to, the Director of Advancement and serves as the database manager. While a direct report to the director of advancement, s/he is responsible for general office administration and support as well as providing organizational support to other members of the advancement team. Providing clerical and accounting support, database management, assistance with the coordination of special events, communications and grant-related activities of the organization are key aspects of the day-to-day activities for this position.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Ability to work in a professional, team-oriented small office environment and successfully interact with and assist donors and community leaders.

Ability to maintain strict confidentiality required.

Provides reports and statistics on giving to staff.

Assists with all department special events including, but not limited to, Golden T, Homecoming, Reunions, alumni parties, Grandparent’s Day, Auction, Headmaster’s Reception and New Parent events.

Covers reception desk as assigned by the assistant to the Head of School.

Though not often, the ability to work nights and weekends is a core job requirement.

Management of the development database, determining best strategies for coding, tracking and reporting; includes solutions for Raiser’s Edge database clean-up and standardization for accuracy

Manages database transitions (i.e. entering new parents, changing current parents to past parents, etc.)

Coordination of data integrity alongside the Admissions and Academic departments to ensure that data is entering the school appropriately for development usage.

Manages the gifts processing system, ensuring that gifts are entered accurately into Raiser’s Edge, sent promptly to the business office and that acknowledgement letters and receipts are sent promptly to donor.

Requirements:

Bachelor's degree

Two years of experience in nonprofit database use a plus

Meticulous attention to detail.

Proficiency in MS Office (Word, Excel and PowerPoint) and G Suite.

Proficiency with myriad social media applications.

Experience in constituent relations software such as Raiser’s Edge and database management is highly desirable.

Must be able to work and communicate effectively, orally and in writing, with a broad range of internal and external constituents including faculty, staff, students, alumni, parents, and friends of the School and work independently, solve problems, handle confidential information, and navigate sensitive situations.

Willingness and ability to learn additional applications as needed.
