School District No. 60 (Peace River North) is inviting applications for the position of Human Resources Coordinator to cover for a Maternity leave effective November 15, 2021 to January 9, 2023. This is a full-time exempt position and as such is not part of a union and is not eligible for overtime.
In School District 60, we serve over 6000 students in 23 schools throughout the region and communities of Fort St. John, Taylor, Charlie Lake, Hudson’s Hope with an annual budget of 75 million dollars. The Human Resources Coordinator is a key member of the Human Resources team. This individual will work under the direction of the Director of Instruction for HR and Secretary-Treasurer and will be responsible for providing a variety of duties related to Human Resources and Labour Relations for all staff. This position requires an individual with a broad background in administration, human resources and labour relations. The ability and flexibility to adapt and change with the position is critical. This is an exempt position. Regular hours are eight (8) hours per day, however responsibilities require a willingness to work as and when needed.
Duties are often performed with minimal supervision, with a responsibility to organize workflow to ensure deadlines are met.
Duties include, but are not limited to, the following:
Performs the human resource function for all staff.
Under the direction of the Director of Instruction/Secretary-Treasurer liaises with Administrators and Supervisors for staffing and job posting needs.
Coordinates and attends job fairs and recruitment events as directed.
District contact for Make A Future and Apply To Education. Responsible for keeping district information and posting templates up to date. Responsible for applicant tracking.
Assists with employment branding and marketing, including managing Employment related social media posts.
Pre-screens and participates in interviews for select positions.
Conducts reference and background checks on candidates as needed.
Responsible for ensuring that criminal record checks are completed on all candidates and conducted regularly for existing staff.
Assists with managing foreign recruitment and immigration procedures.
Responsible for reviewing staff correspondence prepared by HR Assistants including appointment, probation, trial, and position change, leave, layoff, and acceptance of resignation/retirement letters.
Under the direction of the Director of Instruction/Secretary-Treasurer oversees CUPE casual hiring and dispatching.
Coordinates onboarding of new staff, ensuring staff are informed about policies & procedures.
Assists in planning and conducting new employee orientations.
Analyzes statistical data to identify and determine causes of employee absences.
Assists in providing attendance support.
Under the direction of the Director of Instruction/Secretary-Treasurer assists with disability administration and follow up.
Oversees Teacher Teaching On Call (TTOC) dispatching, including both manual and software based
Plans and Coordinates Health & Wellness initiatives.
Assists with interpretation of Policy, Collective Agreements, and Labour Legislation.
Ensures that all relevant policies, procedures, practices, processes, and systems comply with applicable legislation.
Ensures consistent application of Collective Agreement and is responsible for directing issues to the Director of Instruction/Secretary-Treasurer.
Takes minutes at grievance meetings, assists with drafting grievance related correspondence, and participates in a supporting role in grievances.
Responsible for keeping union documentation records including agreements, MOU's, LOU's, and other correspondence.
Assists Director of Instruction/Secretary-Treasurer with investigations and the employee discipline process.
Oversees the preparation and distribution of seniority lists for CUPE and Teaching staff.
Assists with LIF planning and administration for CUPE LIF funding.
Participates in Public Education Benefits Trust (PEBT) meetings and training.
Assists Director of Instruction/Secretary-Treasurer with Pay Equity Program for CUPE staff. Sits on the Pay Equity Procedural Committee.
Sits on Labour Management Committee.
Sits in on EFAP Committee meetings.
Ensures HR data in HRIS database is updated and reviews year end HR Data for accuracy.
Drafts correspondence, contract language, and other documents as required.
Manages employee files and documentation ensuring all necessary information is saved both electronically and in personnel files.
Acts as liaison for senior management, support staff, teaching staff.
Prepares meeting agendas, materials, and minutes.
Ensures the collection and submission of data for 1701 and EDAS reporting systems.
Ensures the completion of Statistics Canada surveys.
Creates reports as required and presents findings and recommendations to the Director of Instruction/Secretary-Treasurer.
May provide support to negotiation team for union negotiations.
Responsible for updating and maintaining procedural manuals for the Human Resources Department.
Maintains the Careers and Health and Wellness sections of the District website.
Performs other duties as assigned
Desired Skills, Experience & Qualifications:
Applied skills and experience in Human Resources.
Degree in Human Resources or related field.
Chartered Professional in Human Resources (CPHR) preferred.
A minimum of two years experience in Human Resources.
Experience in a diverse, multi unionized organization preferred.
Experience in the Public Sector preferred.
Demonstrated knowledge of applicable employment legislation with the ability to interpret and comply with those.
Sound knowledge of labour relations, with related experience.
Understanding of the Freedom of Information Protection Act (FIPPA).
Strong interpersonal and communication skills with a demonstrated ability to communicate effectively with all employees.
Strong problem identification and problem resolution skills.
High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts.
Demonstrated ability to make sound judgments and decisions.
Proven ability to work in a dynamic and challenging work environment and to be flexible and adaptable when faced with challenging situations.
Ability to meet deadlines efficiently while working under pressure and with interruptions.
A well-defined sense of diplomacy, including solid conflict resolution and people management skills.

Adept at handling confidential and sensitive information and documents.
Advanced word processing, Excel, and computer applications skills with impeccable attention to detail and a high degree of accuracy.
Experience working with HRIS databases; preferably SDS or Cayenta.
Ability to write concisely, clearly, and accurately.
Some experience coordinating budgets.
Ability to multi-task, prioritize, and adapt to changing work needs.
Willing to work a flexible schedule coinciding with work volumes.
Continuous upgrading of professional knowledge in Human Resources.
Positive Criminal Records Check (to be conducted through School District Board Office).
Some travel may be required.
Ability to attend and conduct presentations and staff events.
Manual dexterity required to use desktop computer and peripherals.
Long hours of work putting in additional time may occasionally be required to meet business needs.
