Kativik Ilisarniliriniq is a school board offering educational services in the 14 communities of Nunavik.

 

FUNCTION & DUTIES:

Under the authority of the Director of Human Resources, the Executive Secretary is responsible for performing complex secretarial tasks in a relatively autonomous manner. The duties include:

 

  • Coordinates and prepares all documents required for the meetings of the Executive Committee, the Council of Commissioners, the department, and follows up on them;
  • Anticipates the plans the needs of the people he or she assists such as reminders for deadlines and administrative procedures, the settlement of a large number of administrative details; identifies what needs to be brought to their attention and communicates to them;
  • Participates in the planning and physical organization of special activities such as seminars, conventions, travels. Issues notices, reservations for venues and rooms, ensures the preparation and availability of the equipment and documents required in the circumstances;
  • Participates in the planning of staffing activities, including phone calls to selected candidates, letters regarding job offers and follow-up;
  • Writes, based on summary indications, some memos or press releases; participates in the development of the filing system; archives documents in his or her sector according to the guidelines;
  • Responsible for incoming calls, faxes and mail and forwards them to the appropriate people;
  • Prepares correspondence for managers based on the indications received;
  • Responsible for tracking job postings, producing letters in connection with the files, forwards the files to the relevant authority for approval. Participates in the job posting process, occasionally;
  • Creates grievance folders and maintains them in the register;
  • Purchases office goods and maintains appropriate stock levels;
  • Responds to requests for information, disseminates and explains information within his/her field of work;
  • Any other related duties assigned by the department head.

 

QUALIFICATIONS:

Vocational diploma in secretarial studies or a Secondary school diploma;

At least 4 years of pertinent experience.

 

The Board may, at its discretion, waive any or all of the afore-mentioned qualifications if it finds a suitable candidate who is a beneficiary of the James Bay and Northern Québec Agreement (JBNQA) and who accepts, as a condition of employment, to follow a training plan determined by the Board.

 

REQUIREMENTS:

  • Fluent in oral and written English and French;
  • Advanced knowledge and experience of word processing and spreadsheet software;
  • Organized, autonomous, punctual and able to meet deadlines;
  • Spoken and written Inuktitut is an asset.

 

WORK SCHEDULE:     Monday to Friday (35 hours per week).

 

CLASSIFICATION / SALARY / BENEFITS:

In accordance with the AENQ collective agreement for support staff: from $21.69 to $23.76 an hour depending on qualification and experience.

 

In addition to salary, you may be eligible for other benefits such as:
